Quiet Room
The “Laura Oki” Conference Room Policy
The small conference room located within the Elko County Library is available for use by patrons or groups.
Legal activities may be conducted in the conference room.
- Any activity in the conference room which is not an official library function shall be managed by the individual or group using the room.
- The library will not be responsible for lost, stolen or damaged exhibits or other property.
- Granting permission to use the library facilities does not constitute an endorsement by the library staff or trustees of the users or their beliefs.
- The library reserves the right to determine that the use of the room may be only during regular scheduled library hours. The room must be vacated 15 minutes prior to closing.
- Reservations will be taken on a first-come, first-served basis when the room is not being used by the library. The library reserves the right to use the conference room for library purposes such as programs or board meetings at any time. There will be no regular scheduled meetings.
- All requests for the use of the room must be made to Circulation Supervisor, Library Director, Reference Librarian, or other designated library staff no more than 30 days in advance.
Guidelines
- The primary purpose of the conference room is to provide space for small groups or individuals to meet and work.
- This room is for individuals or groups (not to exceed four persons) who need to work on a project, have a meeting, or are taking a proctored exam.
- Patrons may use their own laptops in the conference room.
- The room is not meant for “profit” use.
Reservations
- Reservations may be made by patrons aged 18 or older. For patrons below the age of 18, a parent or guardian must make the reservation and be in the room while in use.
- Conference room requests are taken on a first-come, first-served basis. If room is available, reservations are not required.
- The conference room may be reserved for up to two (2) hours at a time. Extensions may be granted at the discretion of the library upon room availability or for proctored exams that are scheduled to last longer than two (2) hours.
- The conference room may be reserved up to thirty (30) days in advance.
- To give all an opportunity to use the conference room, an individual is limited to having the room reserved for two (2) dates and accompanying time blocks, at any given time.
- Anyone holding a reservation is requested to notify the Library of any cancellation or need to reschedule, at the earliest possible date in order to free the room for others use.
- No individual and/or group may assign its reservation to another individual and/or group.
In all instances, use of the conference room for activities by the Elko County Library takes precedence, and the Elko County Library reserves the right to waive portions of this policy to accommodate library sponsored programs. In any conflict over scheduling or policy, the Library's needs prevail.
